Help wanted: Job Title: Executive Secretary/Treasurer. Description:  MSHSL Region 6A seeks an organized, enthusiastic, detail-oriented leader to serve the member schools assigned to MSHSL Region 6A as the Executive Secretary.  The Executive Secretary works with the Region Committee and the Activity Administrators from the schools assigned to the Region to provide high quality memorable experiences for the students throughout Region 6A.  Job duties include managing financials, administering tournaments, and serving as a liaison between the MSHSL and Region 6A member schools.  Although intended as a part-time position, the work of Region 6A Executive Secretary can require more than part-time attention at times. Candidates holding additional employment will be asked to demonstrate how they will balance the duties during those times of high work demands.    Job Duties: Region Executive Secretary Job Description  

I. Region Meetings  

a. Make reservations for committee meetings.   

b. Plan agenda for each meeting with input from the region committee chairperson  

 c. Send an agenda to committee members.  

II. Minutes  

a. Keep minutes of meetings and post minutes to member schools, committee members, and the MSHSL.  

b. Keep a file of MSHSL and Region 6A minutes and keep committee members informed of pertinent data in the minutes.   

 III. Finances  

a. At each meeting, present to the Region 6A Committee a current financial report.  

b. Upon approval of the Region committee, invest Region monies in the best interest of the Region schools.

c. Collect and deposit all monies received by the Region from tournaments, other Regions and other sources and report to the Region committee 

d. Issue all checks to pay Region obligations for tournaments, meetings and other operating expenses.

e. Familiarity with QuickBooks and/or other accounting software/technology

f. Complete and respond to yearly audit as directed by MSHSL 

IV. Minnesota State High School League (MSHSL)  

a. Inform the MSHSL of Region tournaments, sites, dates, and managers.  

b. Inform the MSHSL of Committee membership.  

c. Inform the MSHSL of Region delegates to the Representative Assembly.  

d. Help the Region Committee set up the election process for Region members to the MSHSL Board of Directors. 

e. Attend MSHSL meetings (Area meetings, Region secretaries’ meetings, etc.).  

V. Region 6A 

 a. Help the Region Committee to establish and conduct election of Region Committee members according to MSHSL rules.  

b. Help the Region Committee to establish and conduct the election of MSHSL Representative Assembly according to the MSHSL rules.  

c. Help the Region Committee (as directed) to carry out its charge.  

VI. Tournament Duties  

a. Act as a tournament manager or work with tournament managers and Region Committee.  

b. Create appropriate documents for reporting financial information to the Region.    

c. Assist as needed with tournament managers in any way possible to conduct their tournaments.  

d. Be responsible for entering information on the MSHSL website.  

VII. Executive Secretary to be reimbursed for expenses as per appendix for Region 6A and MSHSL meeting that he/she is required to attend.  

VIII. The Executive Secretary will have a yearly evaluation. It will be facilitated by the Region Chairperson.   

IX. Act as a liaison between the Region Committee and the Activity Advisory Committees.  

Additional /Preferred Qualifications:  Four Year Degree, Educational/Administrative Experience  

Stipend: Compensation set by Region 6A Committee with yearly performance reviews.   

Timeline for Search: 

October 1, 2023:  Opening posted within the Region 6A/MSHSL. 

November 15, 2023:  Applications due.  

December 13, 2023:  Interviews conducted by Region Committee 

January 2024: Training as needed begins working with current Executive Secretary   Chuck Evert 

August 1, 2024:  Position assumes full responsibilities.
